Refund, Cancellation & Returns Policy

Entity: PRIMEDOT INTERNATIONAL LLC dba PRIMEDOT MEDIA (“PRIMEDOT,” “we,” “us”)

1. About This Policy

This Refund, Cancellation & Returns Policy applies to our digital services, including subscription-based services and one-time professional services such as digital marketing, SEO, PPC/advertising, website/app development, AI chatbots, AI inbound/outbound calling, outreach/PR, reputation management, private cloud & NAS consulting, and dynamic QR codes (collectively, “Services”). As we do not sell physical products, this policy does not cover returns of tangible goods. This policy complements our Terms of Use, Privacy Policy, and Cookies Policy, which you should review for a complete understanding of your rights and obligations.

2. Non-Refundable Services

Due to the immediate allocation of resources and customized nature of our Services, the following are non-refundable once work begins or costs are incurred:  Services already used, delivered, or in progress (e.g., completed campaigns, developed websites, or ongoing SEO efforts). 

Partial or mid-cycle subscription periods (no pro-rata refunds). 

Setup, onboarding, discovery, or third-party pass-through costs, such as software subscriptions, advertising platform fees (e.g., Google Ads, Meta), domain registrations, or licensing fees.

Refunds are not provided unless required by applicable law or as specified in this policy (e.g., billing errors in Section 7).

3. Approved Deliverables

For Services requiring your approval (e.g., creative assets, ad campaigns, press releases, landing pages, or code deployments), your verbal or written approval (including email or platform-based confirmation) finalizes the deliverable. Fees associated with approved deliverables are earned and non-refundable upon approval. You are responsible for reviewing deliverables carefully before approval, as we are not liable for revisions outside the scope of the agreed Statement of Work (SOW).

4. Subscription Terms, Renewals, and Cancellations

  • a. Auto-Renewal: Subscriptions automatically renew at the end of each billing cycle (e.g., monthly or annually) unless canceled as described below.
  • b. Cancellation Process: You may cancel a subscription at any time by providing at least thirty (30) days’ written notice. Cancellation becomes effective at the end of the 30-day notice period, and billing continues during this period with no pro-rata credits. To cancel:  Email [email protected] with the subject “Cancellation Request,” including your company name, subscription plan, and requested cancellation date. 
  • Alternatively, use the designated cancellation link or portal provided in your account dashboard, if available. 
  • We will acknowledge receipt of your cancellation request in writing within five (5) business days. Please retain this acknowledgment for your records.
  • c. Post-Cancellation: Upon cancellation, access to subscription-based Services ends, but you remain responsible for paying any outstanding fees for work performed or costs incurred during the notice period.

5. Third-Party Fees and Ad Spend

Advertising spend (e.g., Google Ads, Meta, LinkedIn, TikTok), payment processor fees (e.g., Stripe, PayPal), and other third-party charges are billed directly by those providers and are subject to their refund policies. PrimeDot does not control or issue refunds for these third-party costs. You are responsible for reviewing and complying with the terms of service of these platforms.

6. Chargebacks and Billing Disputes

If you believe there is a billing issue, please contact us at [email protected] before initiating a chargeback or dispute with your payment provider. We will work with you to resolve legitimate concerns promptly. Unauthorized or invalid chargebacks may result in suspension of Services, and you may be liable for collection costs, bank fees, and reasonable attorney’s fees incurred by PrimeDot in responding to such disputes, subject to applicable law.

7. Billing Errors and Exceptions

If PrimeDot makes a documented billing error (e.g., a duplicate charge or incorrect amount caused by our systems), we will refund or credit the erroneous amount to your original payment method within thirty (30) days of verification. To report a billing error, contact us at [email protected] with details of the issue. Except for such errors or where required by law, no refunds will be issued for Services or third-party costs.

8. Trials, Promotions, and Credits

Trial periods, discounts, coupons, or promotional credits are subject to the specific terms of the offer and are not redeemable for cash. If a promotion requires a minimum subscription term and you cancel early, you may be subject to the standard plan rate or early termination conditions outlined in your SOW, if applicable. Details of any trial or promotion will be provided at the time of the offer.

9. One-Time Professional Services and Milestones

For one-time or project-based Services (e.g., website development or custom campaigns), payments are earned upon the start of each project phase or milestone acceptance, as specified in the SOW. Your verbal or written approval of a milestone renders the associated payment non-refundable. If a project is terminated early, you remain responsible for fees for work completed and any non-cancellable costs incurred up to the termination date.

10. No Guarantees; Results May Vary

Marketing and Service outcomes depend on multiple factors, including market conditions, competition, budgets, third-party platform policies, and your inputs. We do not guarantee specific results, such as search engine rankings, ad approvals, lead volumes, revenue, or return on investment (ROI). Any testimonials or case studies provided are illustrative and based on past projects; your results may differ and are not guaranteed.

We strive to make this Refund, Cancellation & Returns Policy accessible to all users, including those with disabilities. If you require this policy in an alternative format (e.g., large print, audio, or braille) or need assistance with cancellations or refund requests, please contact us as described in Section 12.
